How to capture and import leads

Bring leads into CRM from ads, forms, portals, a spreadsheet or by hand, without creating duplicates.

Every lead in CRM starts somewhere: an ad, a website form, a property portal, a calendar booking, or a spreadsheet someone sent you. CRM accepts all of them and applies the same duplicate rules and assignment routing to every source.

Ways leads arrive

  • Meta lead ads from Facebook and Instagram.
  • Website forms. CRM hosts a form you can embed on your own site.
  • Custom API and webhooks, plus Zapier and Make for anything else you already use.
  • Google Forms and Sheets, through a small script.
  • Calendly bookings.
  • Property Finder and Bayut/Dubizzle, for property businesses.
  • CSV or Excel import, for lists you already have.
  • Manual entry, one lead at a time.

Connect a lead source

  1. Open the CRM integrations area.
  2. Choose the source you want to connect.
  3. Follow the built-in setup guide shown for that source.
  4. Send a test lead and check that it appears in the lead list.

If a portal feed stops working, administrators receive an email and an in-app alert, and another when it recovers.

Import leads from Excel or CSV

  1. Open the lead list and choose Import.
  2. Upload your file. CRM matches your columns to lead fields automatically; check the matches and correct any that are wrong.
  3. Review the duplicate warnings. CRM detects duplicates so the same person is not created twice.
  4. Confirm the import.

What gets captured

Each lead can hold WhatsApp number, budget, what they are interested in, their message, and a planned purchase timeframe. Leads from ads also keep their marketing attribution (platform, campaign, ad and form) and any form responses, so you can see later which source produced revenue.

Good to know

  • Budget written as text, such as "50k–100k", "1.5M", "5 lakh" or "2 crore", is understood. A numeric value is only worked out when it can be trusted.
  • Assignment of integration-captured leads is done by administrators; reassign a lead from the lead list when you need to.

See CRM: Leads, Pipeline & Customers for how these leads connect to the rest of CRM.
